HubSpot or Pipedrive: Which CRM for a Small Business (A Lesson from Venice's German Trading House)

HubSpot or Pipedrive for a small business: the differences, costs to check, AI features, GDPR and three questions to choose well.

The question nearly always comes up like this: "HubSpot or Pipedrive?" The honest answer is another question: what does your CRM need to do on Monday morning? Both are excellent tools, built on two different ideas. Choosing well means understanding which one resembles the way you sell.

One building for all business

Venice, thirteenth century. German merchants arriving in the lagoon cannot settle wherever they like: from 1228 records show the Fondaco dei Tedeschi, the building near Rialto where they lodge, store goods and conclude deals, under the eye of Republic officials and through official brokers.

For Venice its main purpose was to control and tax trade. But the effect is what we now ask of a CRM: one place to know who is dealing with whom, over what, and how far the deal has gone. No information scattered across warehouses and personal memories.

That is the point: the rule comes before the software. If each salesperson keeps contacts on their own phone, no CRM will save you.

Two philosophies

Pipedrive is built for people who sell. Its heart is the pipeline: columns of deals, and the idea that every opportunity must always have a next action. It is quick to learn and suits a small sales team with a clear process.

HubSpot is built to bring marketing, sales and service together. The CRM is the centre of a wider platform: website forms, email, tickets. It is designed for following customers from first contact to after-sales, and it grows by adding modules.

Costs: watch the second year

Pipedrive has no permanent free plan. At the time of writing its price list starts at around $14 per user per month, billed annually. HubSpot offers a free CRM with no expiry, but many advanced features are in paid plans, and prices can climb considerably as modules are added.

Price lists change often: always check the official pages and work out the cost over three years, with the number of users you expect to have, not today's.

AI: less than the brochure promises

Both offer AI features, for example to write emails and summarise information. They are useful, but they work with what they find: with dirty data, they produce more elegant mistakes. Try them on your own cases during the trial, and don't choose a CRM for this alone. We cover the topic in the guide to AI-powered CRM for small businesses.

GDPR is not the vendor's choice

A CRM is an archive of personal data. With any tool you must check the data processing agreement and where data is stored, update your privacy notice, manage consent for promotional email and decide who can see what.

Three questions to decide

  1. Is your problem closing or finding contacts? Closing points to Pipedrive; finding, to HubSpot.
  2. Who will use it every day? For a small sales team, simplicity matters more than the number of features.
  3. What will you spend in three years? If the sum doesn't convince you, change now: migrating later costs more.

What to do on Monday morning

  • Write down the real stages of your sale, from first contact to payment.
  • Export contacts from phones and mailboxes into one list, and remove duplicates.
  • Try both tools for a week with five real deals, and ask your salespeople which one they would gladly open.

The merchants of the Fondaco did not choose the building for its architecture: they went there because that was where everything was known. To find out which CRM your company really needs, and how to connect it to everything else, start with the AI Check-up.
