Is your company ready for AI?

25 checks across 5 areas. Tick what you already have: at the end you get a score and next steps. Print it or save it as a PDF.

1. Processes

We know which repetitive tasks take the most hours per week
Our main procedures are written down, at least as a list
We know what an error costs in key processes (orders, quotes, invoices)
Someone decides what to automate and in what order
We measure at least one indicator (response time, quotes won, hours spent)

2. Data and tools

Customer data lives in one place (ERP or CRM), not scattered spreadsheets
ERP, email and calendar are in the cloud and reachable remotely
Our software offers integrations or APIs (checked with the vendor)
We have a tidy, searchable document archive
We back up regularly and know how to restore

3. People

At least half the team has tried ChatGPT, Copilot or similar
The team can write a clear request to an AI assistant (prompt)
The people doing the work are involved when a process changes
There is dedicated time (even 1 hour a week) to experiment
Fears about jobs being replaced have been discussed openly

4. Rules and security

There is a written rule on what NOT to enter into AI tools
We use company accounts, not personal ones, for AI tools
AI users have had basic training (AI Act Art. 4 duty)
Our privacy notice mentions AI tools that process personal data
We can spot a phishing email, even one well written by AI

5. Customers and value

We know which customer questions come up most
We answer requests and quotes within 24 hours
If we use a chatbot, customers know they talk to a machine
We have a budget, even a small one, for tools and training
We have chosen ONE first project with a measurable goal
